For any request concerning the processing of your personal data, and to exercise the rights granted by the GDPR, you can write to the addresses above. Given the nature and scale of this processing, appointing a Data Protection Officer (DPO) is not mandatory.
Types of data processed
In the course of your use of the site, we may process the following categories of data:
- Contact details: first and last name or business name, email address, telephone number and any other contact details you choose to give us.
- Data contained in your messages: the information you enter freely in the contact form or in the text of your enquiry (for example type of event, date, location, technical requirements).
- Data collected by the configurator: the quote configurator collects the information you enter while building your request (for example the services and equipment selected, guest numbers, the date and location of the event, and any notes), so that we can give you an accurate estimate and response.
- Browsing data and cookies: technical data collected automatically as you browse (for example IP address, browser and device type, pages visited) and information managed through cookies. For details, see our Cookie Policy.
Please do not send us special categories of data (health data, for example) unless they are strictly necessary to your enquiry.
Purposes and legal bases for processing
- Responding to enquiries and providing quotes: we process your data to answer your questions, prepare quotes and handle the pre-contractual stage. The legal basis is the taking of steps at your request prior to entering into a contract (Article 6(1)(b) GDPR). Providing the data requested is necessary for us to respond: without it we cannot act on your enquiry.
- Legal obligations: where necessary, we process data to comply with legal, accounting and tax obligations (Article 6(1)(c) GDPR).
- Marketing communications: only with your free, specific and separate consent (Article 6(1)(a) GDPR) may we send you promotional communications about our services. Marketing consent is entirely optional, is in no way a condition of receiving a response to your enquiry, and can be withdrawn at any time.
- Site security and operation: browsing data and technical cookies are processed to ensure the site works correctly and securely (the controller's legitimate interest, Article 6(1)(f) GDPR).
How we process data, and data minimisation
Data is processed using IT and electronic tools, with technical and organisational measures appropriate to ensuring its confidentiality, integrity and availability. We collect only the data necessary for the purposes set out above, in accordance with the principle of data minimisation.
Retention period
- Data relating to enquiries and quotes is kept for as long as needed to handle the enquiry and any relationship that follows from it, and in any event no longer than the nature of that relationship requires, subject to any legal obligations to the contrary.
- Data processed for marketing purposes, where consent has been given, is kept until that consent is withdrawn and in any event within the limits set by applicable law.
- Data kept for accounting and tax purposes is processed for the periods prescribed by law.
- For the lifespan of cookies and technical tools, please see the Cookie Policy.
Recipients of the data and processors
Your data may be processed by the controller's authorised personnel and disclosed to third parties who carry out supporting activities on our behalf, appointed as processors under Article 28 GDPR. This includes, by way of example:
- the provider of hosting and website management services;
- any providers of email, contact management and communication tools;
- advisers, professionals and service providers (in accounting or legal matters, for example) within their respective remits.
Data is not disseminated or sold to third parties for their own promotional purposes. Should tools involving the transfer of data to third countries be activated in future, this will take place in accordance with the safeguards set out in Chapter V of the GDPR, and this notice will be updated.
Your rights
In relation to the data processed, you may exercise at any time the rights set out in Articles 15–22 GDPR, and in particular:
- the right of access to your personal data;
- the right to rectification of inaccurate or incomplete data;
- the right to erasure (the "right to be forgotten") in the cases provided for by law;
- the right to restriction of processing;
- the right to object to processing, including for marketing purposes;
- the right to data portability;
- the right to withdraw consent at any time, without affecting the lawfulness of processing based on consent given before withdrawal.
To exercise your rights, write to us at info@fcserviceevents.it. We will respond within the periods prescribed by law.
Complaints to the supervisory authority
If you believe that the processing of your data breaches the law, you have the right to lodge a complaint with the competent supervisory authority — the Italian Garante per la protezione dei dati personali (www.garanteprivacy.it) — without prejudice to any other administrative or judicial remedy.
